We’re a fractional COO service for residential builders. We work alongside you and your team to improve systems, simplify processes and clarify responsibilities, so jobs run more smoothly and fewer things depend on you.
A fractional COO (Chief Operating Officer) helps you sort out how your business runs, without the cost of a full-time executive.
Possibly. They bring different support to your business. Your admin team keeps day-to-day work moving, from handling enquiries to organising paperwork and invoices. Operations looks across the whole business at how your people, systems and processes work together.
We work alongside your team to sort out bottlenecks, clarify responsibilities and make better use of your tools. That gives them clearer ways of working and more confidence to get on with things, with fewer questions landing back on you.
We work with custom home builders, renovation and extension specialists, and small project builders who’ve outgrown doing it all themselves. Often, they have around five or more people in the team, and need clearer systems, processes and responsibilities so everything doesn’t keep landing back on the owner.
No. It’s an optional first step if you’re not sure where to start. If you already know you need a full review, you can go straight to an audit.
One 90-minute session where we score your business against our five stages of scaling. Within five days, you get a short report with your top three priorities and three quick wins. If you go ahead with an audit within 30 days, we’ll credit the full Scorecard fee towards it.
No. We start with an audit so we can understand how your business works, what’s getting in the way and what you want to achieve. This gives us a clear plan for implementation, so your time and money go towards the changes that will make the biggest difference.
We start with questionnaires for you and your team, then spend three hours together mapping how work moves through your business, from enquiry to final invoice.
From there, we review our findings and put together practical recommendations tailored to your business.
We walk you through your audit and a prioritised 90-day roadmap, so you know what needs attention, why it matters and where to start.
Both audits give you a thorough review of your operations and a practical plan for improvement.
The Standard Audit includes anonymous team questionnaires to uncover what’s working, frustrations and ideas for improvement. Software recommendations are based on your needs, desk research and information from providers. We don’t test the shortlisted systems, so we can only go off information available.
The Comprehensive Audit adds team interviews and practical testing of shortlisted software. This can include checking integrations and recreating a previous job in a demo environment to see how key features handle your requirements. Interviews give your team more opportunity to share ideas and help shape the changes from the start.
Not sure? We’ll help you choose during your free discovery session.
You’ll need to complete the owner questionnaire, set aside three hours for the workshop (it goes by quickly, we promise!) and an hour for us to walk you through the findings and recommendations.
Your team will also need to complete their questionnaires. We take care of the research, analysis and pulling your audit together.
Most audits take 3 to 4 weeks from kick-off to presenting your roadmap. Timing will depend on everyone's availability for the workshop and presentation.
Most builders move straight into our 12-week implementation program. We run the workshops and supply the templates, and your team builds alongside us. Together we tackle around five initiatives from your audit, starting with the ones that will save you the most time and money straight away.
Implementation and ongoing support are scoped from your audit roadmap, so you only pay for what your business actually needs.
No. Many clients keep working with us to put the roadmap into action, but the audit stands on its own and can be implemented by you and your team if you choose.
Less than you’d think. We do the heavy lifting with workshops and templates, and agree a regular weekly time that works around site. We’ll hold you accountable so the work gets done, but we know you still have a business to run.
Yes. Changes only stick when your team owns them, so your people build the new processes with us rather than having them handed down. If you’re bringing in new software, we’ll ask you to nominate a software champion from your team to take the lead on it.
Usually, yes. We'll try to make the most of what you've got. If what you have isn’t working, we’ll help you choose and set up the right tools, and make sure your team actually uses them.
We’re based in Sydney and work with builders across Australia.
Process documentation that your team will actually use
Let’s be honest, no one wants a 1000-page operations manual that sits in a folder and never gets opened.
At Spek’d, we document your processes in a way that’s simple, practical and easy for your team to follow.
Think checklists, how-to guides, step-by-step instructions, supporting documents, templates and video content. Whether it’s a screen recording of how to raise a PO or a quick explainer walking someone through a workflow, these formats help bring processes to life and make them easier to understand and follow.
